WhatsApp Business account restricted or banned: what it means and how to respond
"WhatsApp Business" can mean two different products, and what happens when your account is restricted depends on which one you use. The WhatsApp Business app is a phone app that follows the same restriction and ban process as WhatsApp, plus WhatsApp's business policies. The WhatsApp Business Platform is the API that software connects to, and it has its own enforcement process, handled through Meta rather than WhatsApp Support.
- The WhatsApp Business app and the WhatsApp Business Platform are enforced differently: app bans appear in the app with Request review; Platform violations appear in Meta's Business Support Home.
- Meta's documented escalation for the Platform: warning, then a 1 or 3 day template block, a 5, 7 or 30 day block on sending, an account lock, and removal.
- Messaging limits and quality ratings are separate from bans: limits cap how many people you can start conversations with, and quality reflects customer feedback.
- WhatsApp Support doesn't handle Platform bans: businesses use Meta's Business Support Home.
SheetMind AI is an independent company and is not affiliated with WhatsApp or Meta. This is general information, not legal advice, and it can't lift a ban or restriction: only WhatsApp (and, for the Business Platform, Meta) can do that. Rules change, so check the linked official pages for the latest.
Which WhatsApp Business do you use?
| WhatsApp Business app | WhatsApp Business Platform (API) | |
|---|---|---|
| How you use it | An app on your phone | Through software connected to the API, such as an inbox or CRM |
| If it is banned | The app shows "This phone number can't use WhatsApp" with a Request review button | You see the violation in Meta's Business Support Home, and the notice reaches you in Business Manager, WhatsApp Manager, by email and by webhook |
| Where you appeal | In the app | In Business Support Home (Meta) |
| Does WhatsApp Support help? | The in-app review is the route | No. WhatsApp says Platform bans and restrictions aren't handled by WhatsApp Support |

If you use the WhatsApp Business app
- A restriction ("Your account is restricted right now") ends automatically, as for any WhatsApp account. See About restricted accounts.
- A ban shows "This phone number can't use WhatsApp". If you think it was a mistake, tap Request review in the app. If there is no such option, the ban is final.
- A ban also ends your Meta Verified subscription, and WhatsApp says a refund will be unavailable when the cause is a policy violation.
- Losing a verified badge is not a restriction. If only the badge is removed, WhatsApp says you can keep using the Business app as usual with no limits on chats, calls or groups.
- WhatsApp points business accounts to its Business Messaging Policy and Commerce Policy. See About account bans on the WhatsApp Business app.
If you use the WhatsApp Business Platform (API)
Meta's documentation describes an escalating process for accounts that repeatedly break the WhatsApp Business Messaging Policy, Commerce Policy or Business Terms of Service. At the time of writing it runs roughly like this:
- A warning that names the policy that was violated.
- A 1-day or 3-day block on sending marketing, utility and authentication templates, and on adding phone numbers.
- A 5-day, 7-day or 30-day block on sending any messages, and on adding phone numbers.
- An account lock: an indefinite block on all messaging that can be lifted only through an appeal.
- Removal from the platform if the business doesn't make changes after multiple warnings and restrictions.
Severe violations, such as scams or illegal drug sales, can lead to immediate removal. Meta can change these rules, so check the current documentation.
Where to see it and how to appeal
Violations, restrictions and account locks appear in Business Support Home (Meta Business Suite or Business Manager, under All tools), and that is also where you request a review. Meta says decisions typically take 24 to 48 hours, that not every spam violation can be appealed, and that some businesses have to wait out the restriction period. The step-by-step process, what to include and what to avoid are in How to appeal a WhatsApp ban: the official steps. Source: About ban appeals on the WhatsApp Business Platform.
Messaging limits and quality ratings are not the same as a restriction
These are separate systems that people often confuse with bans:
- Messaging limits cap how many unique people your business portfolio can message, outside a customer service window, in a moving 24-hour period. They are shared by all phone numbers in the portfolio. Meta's documentation lists 250 for new portfolios, rising through 2,000, 10,000 and 100,000 to unlimited as you meet its criteria. See Messaging limits.
- Quality rating reflects the messages customers received over the past 7 days, based on feedback such as why they blocked your number. It is shown as Green (high), Yellow (medium) or Red (low) in WhatsApp Manager, and you become eligible for more features when it stays Green. Customers who block you can pick a reason such as "Didn't sign up" or "Spam". See About your WhatsApp Business phone number's quality rating.
Meta notes that the older "Flagged" and "Restricted" phone number statuses were discontinued on 7 October 2025, so older articles that mention them may be out of date.
Common reasons businesses are restricted
The WhatsApp Business Messaging Policy says WhatsApp may limit or remove access based on negative feedback, blocks or reports, and policy violations. The recurring causes it and Meta's enforcement guide point to are:
- Messaging people who haven't opted in. (A checklist is in WhatsApp business messaging rules: a compliance checklist.) The policy requires opt-in permission from the recipient and says you may start conversations only with an approved message template.
- Spam or surprising people. The policy says not to confuse, deceive, mislead, spam or surprise people.
- Ignoring opt-outs and blocks. You should respect any request to stop, on or off WhatsApp.
- Template problems, including templates in the wrong category.
- Prohibited or high-risk products and services.
- A high rate of blocks and reports from your customers.
What to do
- Identify which product you use, and where the notice appeared: in the app, or in Business Support Home.
- Read the exact violation or message and stop the affected type of sending.
- Fix the cause: check your opt-in records, your template wording and categories, how often you message, and whether you honour opt-outs.
- Appeal once, through the official channel, with concrete details of what you changed. Don't contact WhatsApp through other channels or other people's accounts in the hope of a faster answer: WhatsApp says it doesn't change the decision.
- Don't switch to unofficial tools while you wait. Unofficial apps violate the Terms of Service, and WhatsApp can reinstate a ban if the activity continues.
Where SheetMind AI fits
SheetMind AI is a WhatsApp inbox and workflow platform for businesses. We mention it here because many restrictions come from running business messaging the wrong way, and a supported setup is the opposite of that. In practice:
- It connects numbers through Meta's official WhatsApp Business Platform, either as a WhatsApp API number or as a WhatsApp Business number that keeps working in the Business app (Coexistence). There are no QR-code hacks and no unofficial automation.
- Free-form replies go out only while WhatsApp's 24-hour reply window is open, and approved templates are used outside it.
- When Meta reports its per-person marketing limit, SheetMind holds back another marketing template instead of pushing it through.
- Your team works in one shared Inbox instead of juggling several phones.
What it does not do: it can't lift an existing ban or restriction, it can't change a decision by Meta or WhatsApp, and it can't guarantee that WhatsApp will never restrict an account. You remain responsible for getting opt-in and for what you send. See how it works on the SheetMind AI homepage.
Questions people ask
Does WhatsApp Support help with WhatsApp Business Platform restrictions?
No. WhatsApp says it doesn't provide support for bans and restrictions on the Business Platform. Businesses use the Meta Business Help Center and Business Support Home instead.
How long does an appeal take?
For the Business app, WhatsApp says most reviews are completed within 24 hours. For the Business Platform, Meta says a decision typically arrives within 24 to 48 hours. These are typical times, not guarantees.
Is a low quality rating the same as being banned?
No. Quality rating reflects recent customer feedback and affects which features and limits you can reach. A restriction or ban is an enforcement action for policy violations.
Can I use the same WhatsApp number in the Business app and with software?
Meta's Coexistence option is designed for this: the number keeps working in the Business app while software is connected to it. Check Meta's current documentation for eligibility and limits, because they change over time.
